DentalXChange Overview

DentalXChange is a web application that gives dental practices the ability to electronically send information to insurance companies. In addition to providing EDI solutions for claims processing, DentalXChange also processes other types of EDI and merchant services transactions. EDI is an acronym for Electronic Data Interchange. EDI processes involve exchanging or transmitting data electronically. DentalXChange’s mission is to help the business side of dental practices run more efficiently. DentalXChange products and services improve productivity, lower costs, and make the provider’s job easier. DentalXChange Product Areas

DentalXChange products and services are separated into four areas:

  • ClaimConnect
  • PayConnect
  • PatientConnect
  • DentalConnect

ClaimConnect

ClaimConnect is a complete suite of claim related services. The following DentalXChange packages are included under ClaimConnect Services:

  • Direct Data Entry (DDE) Claims – Create single claims to submit to insurance payers.
  • Patient Storage – Store patient data for faster Direct Data Entry Claim and Patient Statement creation.
  • Batch Claims – Transfer or upload multiple claims at once to submit to insurance payers. Integration for batch claim submission depends on the Practice Management System.
  • Dental Health Maintenance Organization (DHMO) – View patient rosters, submit DHMO Encounters, and access payment and capitation reports.
  • Real-Time – Review Patient Eligibility, Patient Benefits, and Claim Status in real time from participating payers.
  • Online Payer Enrollment and/or Credentialing – For use with specific insurance payers that require provider enrollment, credentialing, or both. Enter information once and use for multiple forms and applications.
  • DentalXChange Attachment Services – Created by DentalXChange add electronic claim attachments such as X-rays, Perio charts, and narratives using the DentalXChange Desktop Service application.

PayConnect

PayConnect streamlines the payment process between dental practices and patients. The following DentalXChange packages are included under PayConnect Services.

  • Merchant Processing – Accept debit and credit card payments via two methods:
  • Point of Sale (POS) Terminals – Process secure payments using several different options for physical terminals.
  • Virtual Terminal – Process secure payments online anywhere, any time.
  • Advanced Merchant Portal (AMP) – Access online statements, chargebacks, deposits and other payment transaction data.
  • Patient Credit Score (powered by TransUnion) – Credit summary reports include Identification Accuracy, Likelihood of Collections, and Probability of Financial Aid.

PatientConnect

PatientConnect services link dental practices and patients. The following DentalXChange packages are included under PatientConnect Services:

  • Direct Data Entry (DDE) E-Patient Statements – Individually create electronic statements to send via mail or secure E-mail link.
  • Batch E-Patient Statements – Create a batch of electronic patient statements to send via mail or secure E-mail link. Integration for batch submission varies by Practice Management System.
  • DentistUSA – Create a profile and engage in an online community designed to connect dentists with patients.
  • DDS WebStudio Advantage – Build a professional website via an easy-to-use interface.
  • Patient Education – Online videos for patients demonstrate how and why certain treatments may be beneficial.

DentalConnect

DentalConnect provides helpful tools designed to improve the business side of a dental practice. The following DentalXChange packages are included under DentalConnect Services:

  • DDS TimeManager – Manage and track employee Timesheets and work hours online.
  • Activity Snapshot – Receive a summary of the DentalXChange account activity using a mobile phone or desktop computer.
  • DDS Enroll Credentialing – An innovative credentialing management solution that streamlines provider data for secure online delivery to all payers.

DentalXChange Website

To access DentalXChange products and services navigate to the DentalXChange website.

  • Select the Log In button in the upper left corner.

  • Existing Users: Enter the account username and password.
  • New Users: Begin the Worry Free Registration process by selecting the Register button.

Dashboard Overview

The Dashboard page contains links to products and services. Access to each link depends on whether the account has the appropriate package. Links with an adjacent check mark indicate that the account feature is active.

The DentalXChange Dashboard page is separated into four sections:

  1. Electronic Claims Services - ClaimConnect products
  2. E-Patient Statements - PatientConnect products
  3. Financial Services - PayConnect products
  4. Practice Marketing Services - PatientConnect products

Additionally, when an account has the DDS TimeManager package (DentalConnect product) the My Time Clock button appears in the upper left side of the page.

Global Navigation

Global navigation buttons remain consistent anywhere on the DentalXChange website.

  • Account button displays the Account page where settings adjustments are made.
  • Logout button logs the user out of the DentalXChange website.
  • New Account Messages button displays account messages from DentalXChange.
  • New Patient Messages button displays unread messages from patients.
  • Dashboard button returns users to the Dashboard page.
  • Services button displays the services and promotions page.
  • About Us button displays facts about the history of DentalXChange.
  • Contact Us button shows a list of DentalXChange phone numbers.
  • EHG Fund button displays information about DentalXChange’s 501c3 charity.
  • The dental practice name and DentalXChange account number appear in the top right corner.

Section Buttons

  • The Home button(s) that appears within each of the four sections displays the Home page for that section.
  • The Graph button that appears only within the Electronic Claims Services and E-Patient Statements sections shows a transaction history graph, instead of the Quick Links.
  • From the drop-down select a transaction option.
  • Select the List View button to switch back to the Quick Links View.

Electronic Claims Services offer claim services, patient benefits information, enrollment, and credentialing products.

  • Note: A Check Mark next to a link indicates that the account feature is active.
  • Buttons defined:
  • The Single Claim button is used to create a single Direct Data Entry (DDE) Claim.
  • The Batch Claim button is used to open the Batch Claim Upload page.
  • The Claim Search button is used to search for submitted claims.
  • The Attachment button is used to navigate to the Claims Needing Attachments.
  • The Eligibility button is used to view patient eligibility information.
  • The Claim Status button is used to search individual claim statuses.
  • The ERA button is used to navigate to the Electronic Remittance Advice console.
  • The DHMO Patient Roster button is used to create a single Direct Data Entry (DDE) Encounter.
  • Note: This button is only active for registered DHMO accounts.
  • The Credentialing button is used to register with payers to receive certain types of electronic information, submit credentialing forms, or both.
  • The Enrollment button manages provider enrollment for claims, ERAs and Eligibility Response.

Patient Services help provider’s bill patients for services rendered.

  • Note: A Check Mark next to a link indicates that the account feature is active.
  • Buttons defined:
  • The Single Statement button is used to create a Single E-Patient Statement.
  • The Batch Statement button is used to open the Batch Statement Upload page.
  • The Search Statements button is used to search for submitted statements.
  • The Patient Reports button is used to review delivery options for patient statements.

Financial Services connect dental practices to Merchant Processing products, the Advanced Merchant Portal (AMP), and patient credit scores.

  • Note: A Check Mark next to a link indicates that the account feature is active.
  • Buttons defined:
  • The Merchant Processing Services button is used to access the PayConnect Virtual Terminal.
  • The Patient Credit Score Services button is used to open the TransUnion Patient Financial Summary page.

Practice Marketing Services help dental practices market to, and communicate with, their patients.

  • Note: A Check Mark next to a link indicates that the account feature is active.
  • Buttons defined:
  • The Profile Manager button is used to open the Profile Manager page.
  • The Preview Profile button is used to display the DentistUSA profile and the Preview Profile page.
  • The Invite a Patient button is used to access the Invite Patient page.
  • The New Patients button is used to review a list of patients who have saved the practice profile to their PatientConnect account.
  • The Site Manager button is used to open the DDS WebStudio User Interface home page.
